I had a big long spiel typed up here but I can't find it now... auu oh well.
Time to summarize!
First order of business; donations. I hate asking for them, and they're not necessary, but they would really help out. I'll see what I can do if I get an art shop up and running, but for right now we've gotta work with what we've got, yeah?
For those that don't know, there are two reasons guilds might need gold;
The first reason is sub-forums. To create a sub-forum, it costs 2,500 each. It doesn't seem like much, but they really start to add up. I started us off with some general subject forums, but my goal is to have one for each type of art; for example, not just visual art but realism, cartoon, abstract, photography, and graphic design. It would be cool to have a sub forum for each category, too (eg. writing vs. interactive media) but that would tack on a few more.. I don't know about all this, though. The problem with slowly saving up and buying one at a time, starting with the most general is that once you create them, you can't rearrange them (unless I'm missing something?); You can change the names, but that would cause a lot of misplaced threads. So unless we can whine and complain at the Gaia staff to make this a doable thing, the only other solutions I can think of is buying them all at once (I'm starting to wonder if there's a limit, that would be unfortunate) or to just make due with what we have. Any suggestions on this?
I've started making a list, too, so an estimate of how much it would cost would be possible. Before making any decisions final, though, I will be sure to run the list by everyone to make sure nothing gets left out.
The second reason guilds need gold is for chat spaces. Now honestly, I've never seen these before, but if they're a real-time chat area specifically made for guilds, I think it would be really handy (not to mention fun)! But to rent one, it costs 100,000g! I think that's more than I've ever actually owned, haha.
Again, I'm going to see what I can do about tossing in some spare coins every now and then, but if you've got some change lying around as well, consider putting it towards one of these. By no means do you have to, though!
Second order of business: Getting this place looking nice!
This guild may only be two (or so) days old, but I'm already getting antsy about the "excuse the dust" message going on. I've got a header in mind that I want to create, but it would require more drawing; which I wouldn't mind doing, but this week is finals week, and as such, I've been really busy slacking off. /shot But in all seriousness, if anyone has any suggestions for a better welcome message; slogans, graphics, anything; feel free to speak up!
Speaking of graphics, some of you may have seen the logo mock up I doodled on my calc notes; I'll see about making that a thing within the near future. ;P I plan on featuring Kyr's wallpapers on the front page as well.
Third: Concerning Crew Members/etc.
I've already promoted two people to the Crew Member position based purely on their activity and attitude. However, I think it would be beneficial to have a few more, especially if more people come to the café. I'll eventually want to choose a Vice Captain as well, but I'm not sure how to go about that. Obviously I want to choose someone trustworthy; I don't like choosing based on how many times someone has advertised, or how many people they've recruited. But perhaps it's too soon to be able to judge based on anything else.
I apologize for thinking aloud on this matter, but I don't have much experience being in charge of anything, haha! I just wish there were higher positions between Crew and Vice Captain. sweatdrop
Fourth: Official directories.
Either on the ad boards page or the introductions page, I was thinking it would be nice to have a thread as host to a list of members and their respective tumblrs, deviantArts, SoundClouds, YouTubes, whatever. (And art shops! An open art shops thread would be nice, yes?) I'm not sure where this thread would belong, though, or whether it would be on one page separated by site or each having a different thread. I would think one page would be better to keep the rest of the forum clean. Or, we could get rid of the "Ad Board" sub forum and have two stickies for these threads in the Introductions section, how does that sound?
Five: Monthly themed challenges?
(Running out of time here so I'll make it quick) Perhaps I'll trash the "Ad Board" section like I just mentioned and replace it with a monthly challenge board instead. Basically, each month will have a theme or challenge that members can use to give something new a try, or well... whatever they would like to do based on the theme. Note that it won't be a contest! I'd rather keep contests out of this guild, but if it's a popular idea I might consider it. I think contests add unnecessary pressure, though. Challenges are more fun, more friendly, and less stressful in my opinion.
I think I had a few more things on my mind but I seem to have forgotten them. OTL Oh well!

Donations
First off, donations made through the guild homepage can only be used for guild related things; like purchasing sub forums. To the best of my knowledge there is no way to withdraw from that account. So right now this may not be an issue but should there be any contests (which I do acknowledge you're not interested in having but I can't think of a better example), gold for prizes should probably be donated to you. I'll double check this a bit later and edit to reflect my findings.
Next, sub forums. I have no idea about rearranging them but one possible solution is, once you have enough for one "set", to have a vote on which section gets set up first. It's a bit of a compromise but it could work.
Finally, chat space. Personally, I type really slow and like to think out my sentences before posting so I more than likely wouldn't use it. An alternative, that I may or may not end up lurking in, would be something like Raidcall. I know there are other voice chat services available, but I've never used them so I can't make an informed suggestion on them. To my knowledge, they're generally free and support both typing and voice. Obviously a downside would be having to register for an account plus download any required software. It's an option, though I'm not sure how suitable it is.
Graphics
Nothing to add to this, just make it through your finals and then you have more time to do things ^_^
Crew
Don't worry about choosing a VC so soon, take your time! Honestly I think we should all try to get to know each other a little better first. Also, when your finals are done, maybe you can kinda sort out what you expect form the future VC as well as your crew. Like, how much brainstorming, planning, creating, making things happen would each "level" be responsible for? All, some, none? Would it be just related to guild forum functions? Would there be "teams" for graphics, events, moderation, etc? Just somethings to think about. I have no idea what privileges each position has so that may be another thing to consider.
Directories
I like the overall idea. Not quite sure how to implement it either. I kinda like the idea of making a sticky somewhere (no idea where it would be most appropriate) and have each member make one post which they can edit (update) as needed with their info. It could take a lot of editing if you wanted the first page/post to list links to each members post though. Also it wouldn't prevent "hit and runs." Not sure on your feelings about those.
Challenges
I like the idea! There are quite a few things you can do with it so I think it's flexible enough to "run itself" if you will.

Donations:
In my personal experience it would probably be better if all donations go directly to you. So you can use them for sub forum purchases or other expenses. You can not take any funds from the guild donation after it is submitted. I keep track of all transactions that go on with the money donated etc.
-sub forums
Like you said they can be renamed. The threads inside of the sub forums can be moved. If you go onto one of them and scroll the whole way down there are little circles the one with an arrow will let you move them.
-chat space
I dont think I would use it, I cant be on all the time so I reply when I can and dont want people waiting on me if it's real time. Guess it all depends on everyone else. But that price tag is insane.
Graphics:
Good luck with your finals, I know how you feel. Just do stuff when you can. It can wait.
Crew:
I agree with Vermillion about taking your time with chosing a VC. Especially since VC's have the same privelages as the Captain. So you need to trust this person with your life.

I don't have much gold at the moment since I'm new, but I made a small donation. All of your ideas sound great...I honestly don't have much to add or suggest.

Normally, I take the gold over an even thousand and divide it among the guilds I'm in daily. It's not much, but it gives the guild a nice - if irregular and tiny - income. If people wouldn't mind giving a small daily contribution I'm sure funds would swell. However, I myself am unable to be online daily, and - admittedly - I'm saving for a guild of my own. I would love to donate if I had the money, but at the moment funds stand at 5141g and I need every penny if I'm going to get to 20000 - not to mention the toll running my own guild is going to take on my gold. (FYI, I'm not creating a competing guild. My idea is different. I want to run a guild specifically for writing activities. I'm going to call it The Writers' Games.)
As for advertising, I could try and squeeze you into my sig, but it's only just below the character limit as is. Also, after a bazillion years of saving and my guild is up and running I could advertise you on the main page if you would like me to.
When it comes to themed challenges, I think I could come up with a few for writers. I could theme each prompt according to the monthly theme. How does that sound? I suppose I could maybe even write a few descriptions to draw from too, if you really want me to. It would be a good exercise for me as well.
An art shop would be good. Would people be able to ask for something specific to be created? With gold offered for the creation? Of course, people seldom ask for writing pieces, but if I someday come by a some money, I would sure like to buy cover art for novels. Once I write novels. If I pursue my dream and write novels.
I like this guild, its got a nice active community. I want it to stay that way. But for now, I am essentially useless. I can't spare funds, I may not be able to advertise for some time. I'd love to set up more prompts, so I may be useful there. If there's anything non-fund-related I can do, let me know.
