I had a thought a couple days ago (yes, one of my rare thoughts). This guild is slowly becoming more active over time, but even so this doesn't help much if the attendance at the arranged meet-ups is low, which usually tends to be the case. While I am aware that the guild members here do have other events in lives, I went about thinking of some way to encourage fellow guild members to attend meet-ups nonetheless. And thus this idea came to me-- inspired by RadioactiveBobEatsRamen's award idea. So I thought I'd post up the idea and get some feedback on it.
The idea itself is fairly simple: a guild lottery. How would this work? Well, this gets a little more complicated.
At meet-up events (as the host chooses) event cards are given out, each one with a number on it. Only one card per attendee. A thread in the guild forum is created for the event, an event lottery thread. After the event the attendees have a certain number of days to post the number on their card, ensuring that no one can cheat by giving a false number. If a member doesn't post their number within the time specified than they will be disqualified from the drawing.
After the specified time the host posts in the thread and uses the random number generator and generates a number between 2 and the number of attendees... If there are ten attendees than the host would use the random number generator post function to generate a number between 2 and 11 (that is assuming the host keeps card number one for their own collection).
The generator would, of course, create a random number between the preset digits, and whatever number is generated, the holder of that number wins the prize for the event. So, like I said, it's basically a lottery.
As for the rewards, perhaps there could be a guild money pot, an admin-run guild mule account, where guild members could donate gold or items to. For each meet-up lottery drawing a certain percentage of the pot would be given out (20% for example), but not all of the pot, ensuring that there is always some gold left over for another event thereafter. In the case of items one item could be given out from the pot. The host should list the prize in the lottery and/or event thread before the drawing so it ensures that the host doesn't play favorites to a certain member. Having people donate to the guild pot would mean that with each donation the possible prize would increase, making the reward "bigger" and "better" with each donation.Thus donating would benefit everyone in the guild. Obviously, a guild admin would be in charge of giving out the item from the mule account.
The meet-up host could also choose the prize, if they'd rather give something out from their own collection. Perhaps the host would wish to give out some avatar art, an item from their own collection, or something else... They could choose to do so, and thus take nothing from the guild pot.
In regards to the meet-up lottery cards, their purpose would be two fold. They would, of course, have a number on the card as I already said... But for us collectors out there, the cards would also be collectible. Each card, while probably having a generic appearance, would list the meet-up event, the date, the username of the host, and the prize. There could even be a picture on the card relating to the event (with colors toned down to save on printer ink, or even in a two-tone fashion). Thus the cards for each meet-up would be a bit different, and would allow the members to collect the cards if they choose to do so. A card collection could also, possibly, be formed into another yearly event where the member with the largest collection receives a prize... But that can be discussed later if desired.
Another idea for the cards, to make them even more guild-related, would be to feature a guild member's avatar and username on the card for each event. This, too, could basically be a raffle, with each member (who gives their permission to be featured), selected randomly, but each member could only be selected once until each applicable member is featured, than the features could circle around again. The rules for this could be expanded upon later if this idea is desired; or the event host could simply choose the picture for the card, or the card could simply feature some generic image.
I could easily whip up a generic card face image that could be passed to event hosts. They could modify the appropriate fields to their meet-up needs, as I said above. The host would, of course, be responsible for printing the cards themselves.
Though if it's decided it would be easier, an attending guild admin could be in charge of the lottery instead... Whatever is more convenient, I guess.
To help keep things organized perhaps a sub-forum in the guild could be created, which would be only for the stickied lottery rules, and for the meet-up lottery thread where members post the number on their card and the host or admin generates the random number.
This idea can be modified until it's something that everyone likes. Rules can also be changed, removed or added to. Cheating should be an impossibility, and no one should be able to play favorites. Countermeasures should enforce this, as I described above.
But this is just one possibility to encourage meet-up turnout. I'm sure there are plenty of other possibilities if this idea isn't desirable.
So, in a nutshell...
-"Lottery" tickets are given out at most meet-ups (doesn't necessarily have to be every meet-up). Meet-up host (or admin if the case may be) creates a thread in a lottery sub-forum of the guild for the meet-up event lottery.
-Each ticket has a number on it. Ticket holder goes to the appropriate thread here in the guild and posts their number within the amount of time specified on the ticket.
-->If the member does not post their number in the thread within the time specified their number is disqualified from the drawing.
-After the specified time the meet-up host (or admin) posts into the meet-up event lottery thread and uses the post actions to generate a random number between the two determined digits (probably 2 and the number of attendees).
-The guild member who has that number (which they would have posted in the thread) wins the prize for the meet-up lottery.
-A guild pot would exist, probably a mule account, where guild members can donate gold and items to. In the case of gold, a certain fixed percentage of the gold would be given out to the winner, thus the more donations there are the bigger the prize would be.
